Terms and Conditions

These Terms and Conditions govern the use of our school management system.

These Terms and Conditions ("Terms") govern the use of the CAIMS school management system, a product of Isaech Solutions. By accessing or using the system, schools, administrators, and individual users ("Client," "User") agree to be bound by these Terms. These terms were last updated on 5 January 2026.

1. Services Provided

CAIMS provides a cloud-based school management system including, but not limited to:

  • Academic record management .
  • Financial accounting and fee tracking.
  • Communication tools (SMS/WhatsApp integration).
  • Portal access for students, parents, and staff.

2. Account Responsibility

  • School Accounts: The school is responsible for maintaining the confidentiality of administrative credentials.
  • User Conduct: The Client is responsible for all activity occurring under their accounts and must ensure that users comply with local educational and privacy laws.
  • Accuracy: The Client is responsible for the accuracy of the data entered into the system (e.g., student grades, financial balances).

3. Subscription and Payments

  • Fees: Access to CAIMS is provided on a subscription basis (e.g., per term or per year). Fees are based on the agreed-upon package and or student enrollment numbers.
  • Currency: Payments may be billed in USD or ZWG, as per the prevailing exchange rate and government regulations at the time of invoicing.
  • Non-Payment: CAIMS reserves the right to suspend access to the platform if subscription fees are not paid within 30 days of the invoice date.
  • Payment Default & Data Deletion: In the event of a payment default, CAIMS reserves the right to suspend account access immediately. If the account remains in default for more than 14 consecutive days, CAIMS reserves the right to permanently delete all data associated with the account to free up system resources.
  • Limitation of Liability for Deletion: CAIMS shall not be held liable for any loss of data, financial records, or academic history resulting from deletion due to non-payment. It is the Client’s sole responsibility to ensure accounts are settled or data is exported prior to any period of expected default.

4. Data Ownership and Intellectual Property

  • Client Data: All student records, financial data, and school-specific content remain the exclusive property of the Client (The School).
  • Financial Accuracy: While CAIMS provides the tools for financial tracking, the Client (The School) is solely responsible for the accuracy of data entry. Isaech Solutions shall not be held liable for any financial discrepancies, audit failures, or tax liabilities arising from incorrect data input, human error, or the misuse of the financial module by school personnel.
  • System Ownership: The CAIMS software, source code, logos, and UI/UX design are the intellectual property of Isaech Solutions. Users are granted a non-transferable license to use the system; they may not copy, reverse-engineer, or resell the software.
  • Retention Period: Backups are retained on a rolling 14-day cycle. Data older than 14 days is automatically overwritten and cannot be recovered. CAIMS does not offer long-term archival services or "point-in-time" recovery beyond this 14-day window.

5. System Availability and Support

  • Uptime: We strive for 99.9% system availability. However, we are not liable for interruptions caused by factors outside our control (e.g., national internet outages or power failures).
  • Maintenance: We will provide notice of scheduled maintenance that may result in temporary downtime.
  • Support: Technical support is available during business hours via our WhatsApp or Cell number (+263 78 324 3738) and email ([email protected]).

6. Data Security and Backups

  • While CAIMS implements daily automated backups, Clients are encouraged to export their critical records (e.g., Grade sheets and Financial reports) periodically for their own archives wherever possible.
  • We shall not be held liable for data loss resulting from Client-side password compromises.

7. Termination

  • By Client: The Client may terminate their subscription at the end of a school term by providing 30 days' notice.
  • By CAIMS: We reserve the right to terminate access if these Terms are violated or if the system is used for fraudulent purposes.
  • Data Export: Upon termination, the Client will be given a period of 14 days to export their data before it is permanently deleted from our active servers.

8. Limitation of Liability

To the maximum extent permitted by Zimbabwean law, CAIMS shall not be liable for any indirect, incidental, or consequential damages (including loss of data or school revenue) arising from the use or inability to use the system.

9. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the Republic of Zimbabwe. Any disputes shall be subject to the exclusive jurisdiction of the courts in Zimbabwe.

10. Domain Names & Hosting

  • Access Options: The Client may choose to access the CAIMS platform via:
    1. CAIMS Subdomain: Provided free of charge (e.g., schoolname.caims.co.zw).
    2. Custom Domain: Integration with a domain owned by the Client (e.g., portal.school.co.zw).
  • Custom Domain Responsibility: If the Client chooses to use their own custom domain, the Client is solely responsible for the purchase, annual renewal, and DNS management of said domain. Isaech Solutions shall not be held liable for system downtime caused by the expiration or misconfiguration of a Client-owned domain.
  • SSL Security: Isaech Solutions provides SSL (Security) certificates for all caims.co.zw subdomains. For custom domains, the Client may be required to cover additional setup costs for dedicated security certificates.
