How To Bill Students in a Class

Setting up class fees and applying billing across student cohorts is a quick two-part process. By defining your school terms and assigning fee structures, the system automatically bills all active students in target classes while ensuring future enrollees are billed seamlessly upon joining.

1. Configure School Terms

Before creating or applying fee structures, ensure your term schedules are up to date in the system:

  • Navigate to School Terms in your administration panel.
  • Ensure your term history includes the active term as well as at least one previous term.
  • Why this matters: Selecting a previous term when setting up current fees establishes the effective start date, enabling the system to apply charges to active students as balance due from the start of the current period.

2. Set Up Class Fees & Apply Billing

Once your terms are in place, you can define and assign fee amounts across target classes:

  • Navigate to Manage Fees and click Add Fee.
  • Enter the required billing details (for example, $250 USD) and select the target class or classes.
  • Under the term selection menu, choose the school term after which this fee becomes effective. Select the previous term if you wish to apply this fee immediately to current students for the active academic term.
  • Save your changes to initiate automated fee assignment.

3. Automatic Billing Assignment

Saving a class fee structure automatically applies the charges across two key student groups:

  • Active Class Cohorts: Every student currently enrolled in the assigned class(es) will instantly be billed the configured fee amount as due from the designated term.
  • Future Enrolments: Any new student registered into these classes going forward will automatically have this fee applied to their account during the onboarding process.
